1. Who we are
Digimaxx AI Solutions Private Limited ("Digimaxx", "we", "us" or "our") provides AI products, enterprise solutions, government technology, custom engineering, search intelligence and related professional services. For personal data covered by this policy, Digimaxx is the data fiduciary or controller unless a contract states otherwise.
Our registered office is No.58/2, 2nd Floor, VP Road, Sankalpa Nilaya, Madivala, Bengaluru, Karnataka, India, 560068. Our Chennai workplace is First Floor, No MF-7, Cipet Hostel Road, near India Post Parcel Hub, Thiru Vi Ka Industrial Estate, SIDCO Industrial Estate, Ekkatuthangal, Chennai, Tamil Nadu 600032.
2. Scope
This policy applies to digimaxx.co, its pages and forms, Maxy AI, sales and support communications, events, proposals, payments, and services delivered by Digimaxx. A separate contract or product-specific notice may apply to a particular engagement; where it conflicts with this policy, the more specific notice or signed agreement controls for that engagement.
3. Personal data we may collect
- Contact and identity data: name, business email, phone number, job title, company and location.
- Inquiry and project data: messages, requirements, selected challenges, proposals, support requests, files and communications you choose to provide.
- Commercial and transaction data: quotations, invoices, tax information, payment status, transaction identifiers and refund records. Card, UPI or bank credentials are entered directly with the payment provider and are not intended to be stored by Digimaxx.
- Maxy data: prompts, recent conversation context, generated answers and a device identifier stored in your browser. A one-way hash derived from the identifier, or from an IP address when the identifier is unavailable, is used to enforce usage limits.
- Technical and usage data: IP address, device and browser information, referring pages, pages visited, approximate region, timestamps, error and security logs, and aggregate interaction data.
- Preference data: cookie choices, communication preferences and advertising consent.
Please do not submit passwords, payment credentials, health information, government identifiers, confidential client data or other sensitive information to Maxy or general website forms.
4. How we use personal data
- Respond to inquiries, prepare proposals and provide requested information.
- Enter into, administer and deliver contracts, projects, subscriptions and support.
- Process payments, issue invoices, manage refunds and maintain statutory records.
- Operate Maxy, provide relevant answers, prevent abuse and enforce the seven-question visitor limit.
- Secure, troubleshoot, maintain and improve the website and our services.
- Measure aggregate site performance and, when you consent, use analytics, conversion measurement, remarketing or advertising tools.
- Send service messages and marketing communications you requested or may reasonably expect, with an option to opt out.
- Comply with law, lawful requests, audits and the establishment or defence of legal claims.
5. Legal grounds and consent
We process personal data with your consent, to take steps at your request before entering a contract, to perform a contract, for uses permitted under applicable law, and to meet legal obligations. Where consent is the basis, you may withdraw it at any time. Withdrawal does not affect processing already carried out and may prevent us from providing a feature that needs the data.
6. Cookies, analytics and advertising
Essential browser storage supports privacy preferences, security and Maxy usage limits. Optional analytics and marketing technologies are disabled unless you provide the relevant choice through our consent banner. We currently use Vercel Analytics only after analytics consent. Google Ads, Google Analytics, Meta Pixel or similar marketing tools may be added only under the marketing or analytics preference described in our Cookie Policy.
You can change your choices at any time using “Cookie settings” in the footer. When Google advertising services are enabled, Google explains its business-data processing at Google Business Data Responsibility.
7. How we share data
We do not sell personal data. We may share limited data with:
- Hosting, infrastructure, security, communications, analytics and professional-service providers working for us.
- Payment gateways, banks and tax or accounting providers required to process a transaction.
- Google Maps when you view the embedded workplace map, and advertising or analytics providers when you consent.
- Project partners or subcontractors where necessary to deliver an agreed engagement and subject to appropriate obligations.
- Authorities, regulators, courts or other parties where required by law or needed to protect rights and safety.
- A successor in a merger, acquisition, financing or transfer of business, subject to applicable law.
8. Maxy AI
Maxy uses a self-hosted language model and deterministic site knowledge to answer questions about Digimaxx. Prompts and recent conversation context are sent to our server for response generation. Generated responses and a one-way prompt hash may be held in a temporary in-memory cache for up to 24 hours to answer repeated questions efficiently. Raw prompts are not stored in that response cache. Hashed identifiers used for visitor limits are retained for no longer than 30 days. Infrastructure logs may be retained separately for security and reliability.
AI output may be incomplete or inaccurate and must not be treated as legal, financial, medical or professional advice. Do not place confidential or sensitive information in Maxy.
9. Retention
We keep personal data only for as long as reasonably necessary for the purpose described, the duration of our relationship, applicable limitation periods, security needs and legal or tax obligations. Inquiry data that does not lead to an engagement is generally reviewed for deletion or anonymisation within 24 months. Contract, invoice and transaction records may be retained for the period required by applicable law. Consent records are kept while needed to demonstrate your preference.
10. Security and international processing
We use reasonable administrative, technical and organisational safeguards appropriate to the nature of the data. No internet transmission or storage system is completely secure. Service providers may process data outside your state or country; where this occurs, we use measures required by applicable law and restrict providers to the purposes for which they were engaged.
11. Your choices and rights
Subject to applicable law, you may ask to:
- Access a summary of personal data and processing activities.
- Correct, complete or update inaccurate personal data.
- Delete personal data that is no longer required or lawfully retained.
- Withdraw consent or opt out of marketing.
- Nominate another person to exercise rights where applicable.
- Raise a grievance about our handling of personal data.
Send a request from the email address associated with your interaction to info@digimaxx.co. We may verify identity before acting. You may also complain to the Data Protection Board of India or another competent authority when that right is available.
12. Children, third-party links and updates
Our business services are not directed to children under 18 and we do not knowingly seek their personal data through the website. The site may link to third-party websites whose practices are governed by their own notices. We may update this policy to reflect legal, technical or business changes and will post the revised date here. Material changes will be highlighted where reasonably possible.
